Terms and Conditions for Diaspora Haus®

1. Booking & Payments

  • Full payment must be made before check-in.
  • A refundable security deposit of $300 USD is required at check-in and will be returned at check-out, provided no damages, violations, or outstanding fees exist.
  • Payments are accepted via bank transfer, mobile money, or credit/debit card (Visa or MasterCard).
  • Cancellations made at least 14 days before check-in will receive a full refund. Cancellations made between 8-13 days will receive a 50% refund. Cancellations within 7 days will forfeit the deposit.

2. Check-in & Check-out

  • Check-in time is from 2:00 PM, and check-out time is by 11:00 AM. Early check-in or late check-out must be pre-approved and may incur additional fees.
  • Guests must present valid identification upon check-in.
  • Guests who fail to check out by 11:00 AM on the departure date without prior approval will be charged an overstay fee equivalent to 50% of the nightly rate for the first 4 hours beyond check-out time.
  • Guests staying beyond 4 hours will be charged a full additional night’s stay.
  • If overstay continues beyond 24 hours without communication, a daily overstay fee of $60 per night will be assessed until checkout is completed.
  • If a guest refuses to check out, management reserves the right to remove belongings and deny further accommodation.
  • Overstays are not guaranteed and will be accommodated where possible if there are no bookings immediately following the current stay.

3. Accommodation & House Rules

  • Rooms are assigned based on availability, and specific requests will be accommodated when possible. 
  • Guests must maintain cleanliness and respect common spaces.
  • Smoking, illegal substances, and disruptive behavior are strictly prohibited.
  • Visitors are allowed between 9:00 AM and 9:00 PM upon presenting a valid government issued ID and signing Guest Check-in form with security.
  • Overnight guests require prior approval from management.
  • No pets are permitted without written approval from management.
  • Daily housekeeping will be provided on a daily basis for the exterior compound and interior common areas. Room cleaning is performed on a bi-weekly basis. More frequent cleaning may be arranged at an additional cost.
  • Key Replacement Fee: If a guest loses or fails to return their room key, a $35 key replacement fee will be charged.

4. Noise & Disturbance Policy:

  • Guests must respect the peace and privacy of other residents.
  • Loud music, disruptive behavior, or excessive noise is not permitted, especially during quiet hours, 10:00 PM – 7:00 AM.
  • Repeated violations may result in termination of stay without refund.

5. Services Included in Stay. The following services are included for up to two (2) adults per booked room:

  • Airport pickup from Kotoka International Airport. (Late-night pickups between 10:00 PM and 7:00 AM are based upon availability and incur a surcharge of $35 per pickup.)
  • Currency exchange assistance
  • SIM card registration
  • Local bank account establishment
  • Ghana Card registration
  • Africa Plan® Relocation Consultation
  • Cultural Orientation Training
  • Shopping experience at a market or grocery store*
  • Assistance negotiating and purchasing household goods*
  • Introduction to nearby shops, restaurants, and healthcare facilities
  • Resource guide for setting up utility services in Ghana
  • Dedicated support person for personalized assistance
  • 1-year membership to The African Diaspora Group
    *Transportation costs to be borne by the guest

6. Additional services are available at an extra cost, including:

  • Transportation services
  • Culture & heritage tours
  • School search assistance
  • Neighborhood tours
  • Visa extension assistance
  • Residence permit processing
  • Business registration support
  • Local language lessons

7. Security Deposit & Liability

  • The $300 USD security deposit is refundable at check-out provided there are no damages, violations, or outstanding fees (including overstay fees, key replacement fees, or additional service charges).
  • Any damage to property caused by a guest will be deducted from the security deposit. If damages exceed the deposit amount, the guest will be responsible for the additional cost.
  • African Diaspora Resource Centre is not responsible for loss or damage to personal belongings. Guests are advised to secure valuables.
  • Security measures are in place, but guests must exercise personal caution at all times.

8. Termination of Stay

  • Management reserves the right to terminate a guest’s stay without refund if there is a violation of these terms and conditions.
  • Guests must vacate the premises within 24 hours of notice if asked to leave due to misconduct.
  • Early Termination by Guest: If a guest voluntarily chooses to leave before their scheduled departure date, no refund will be provided for any unused nights.

9. Dispute Resolution

Any disputes shall be resolved amicably. If unresolved, the matter will be referred to local arbitration or legal authorities in Ghana.
